Full timeline of every activity, announcement, and transition. Timings are strict: the team owns every transition.
Three floors, each with a distinct purpose. Your spatial reference for the entire day.
The Shoot Area is the heart of communal activities. It must be fully cleared Saturday evening: desks, kitchen island, and tables moved out: and 30 yoga mats spread across the floor. At 4:30 PM it transforms into the Kirtan space with fairy lights, harmonium, mridangam, BenQ screen, and candles.
The Prasadam Area handles all three meals. 7 mats move from Shoot Area before breakfast for extra floor seating, stay through lunch, then return to Shoot Area for Kirtan at 4:30 PM. The mat cycle is: Shoot → Prasadam (10:30 AM) → stay for lunch → Shoot (4:30 PM) → Prasadam (6:00 PM).
The Role Cabins each have a printed tag with the role name and a list of candidates in that group. Paste tags on cabin doors Saturday evening. Write facilitator names and participant names on the glass outside each cabin using whiteboard markers.
The Manipura Cabin is the reference point for interviews: the schedule sheet (filled during lunch) is pinned here for candidates to check when they're called. The Individual Desk Area has name-tagged desks placed Saturday. Team removes all personal valuables before Sunday.
Every floor transition: when, who announces it, who moves the mats, and what happens in parallel.
23 mats stay in the Shoot Area at all times · 7 mats cycle between Shoot Area and Prasadam · Cycle: Shoot → Prasadam (10:30 AM for breakfast) → stay for lunch → Shoot (4:30 PM for Kirtan setup) → Prasadam (6:00 PM for dinner). The 23 remaining mats never leave the Shoot Area and are ready for Kirtan without any additional movement.

Candidates need internet access for the research phase. Ensure Wi-Fi credentials are shared at the start of the day (during welcome address or posted in the Shoot Area). Confirm stable connectivity on the Second Floor before Sunday.
Candidates will be working on devices for up to 3.5 hours. Ensure sufficient power outlets are accessible at the individual desk area on the Second Floor. A power strip can be placed centrally if desk access is limited.
Both video and document. Via email as a public Google Drive link. Must be done before leaving HQ at end of day.
The specific topic prompts for each wing's group activity and solo assignment are on Notion. Facilitators must review these before the day and not reveal the topic to candidates until the briefing begins in the cabin.

Action needed: Each facilitator should print or screenshot their wing's prompt before Sunday morning so they are not dependent on a device during the briefing.
Complete breakdown of who does what: from first arrival to end-of-day cleanup. No ambiguity.
15 confirmed candidates across four wings. Each group has a dedicated facilitator and assigned cabin on the Second Floor.
Smriti Pandey (Kirtan+Youth) and Harsha Meti (YT Content) both have the same registered number: 7080834803. Verify with both candidates before the day and ensure the correct numbers are captured at check-in. One of these is likely a data entry error.
The Yoga Wing has only 2 candidates (Soham and Sneha B). The standard group discussion format may feel unnatural with just 2 participants and 2 facilitators in the room. Radhika and Akshay should decide before Sunday whether to (a) run it as a guided conversation rather than a structured group discussion, or (b) invite Soham and Sneha B to join another wing's cabin for the group activity and interview them separately.
